Director of Finance & Administration

Music of the Baroque (MOB) is seeking a full-time Director of Finance & Administration. ORGANIZATION

Now in its 53rd season, Music of the Baroque’s professional chorus and orchestra annually performs twenty or more concerts in the Chicago area including at the Harris Theater in Millennium Park in downtown Chicago and the North Shore Center for the Performing Arts in Skokie, as well as at intimate Chicago and suburban churches and neighborhood venues such as the Kehrein Center for the Arts in Austin.

Our vision is to grow the awareness of, and appreciation for, Baroque music, building audiences through our concerts, recordings, broadcasts, education programs, community engagements and special events. DESCRIPTION

The Director of Finance and Administration reports to the Executive Director and executes and oversees the daily management of all operational, financial, personnel, and business functions of the organization. This includes monthly financial reporting, budgeting, the annual audit, investments, payroll, tax filings, receivables and payables, and more. The position is also responsible for managing administrative functions including employee benefits, onboarding of new employees, as well as responsibility for the HR function, the primary relationship with the office building management, and general office needs for the organization.

RESPONSIBILITIES AND DUTIES

Finance

  • Analyze, present and clearly communicate financial reports and statements in an accurate and timely manner to the Executive Director and Board Treasurer and to the full board at its regular meetings; provide analysis and financial reporting for grant applications.

  • Manage banking relationship and activities including bank and credit card account reconciliations, investments, and line of credit.

  • In coordination with development and box office staff, manage box office revenue, donations, invoicing, and other receivables while maintaining appropriate documentation.

  • Manage and book all accounts payable, including initiation of payments through ACH, online payments, and checks. Record and track in the accounting system and maintain appropriate documentation.

  • Coordinate and manage the annual audit and 990 filing process, working closely with external auditors.

  • Oversee the annual budgeting and planning process in conjunction with the Executive Director and other appropriate staff to determine an accurate budget for presentation to the Board.

  • Monitor and report on deviations from the budget throughout the fiscal year including preparing a mid-year projection.

  • Oversee and complete required filings for city, state, and federal reporting.

  • Serve as staff liaison for the Investment Committee by preparing reports and presenting
    financial information at regular Committee meetings in conjunction with the Executive Director.

Administration

  • Supervise the Senior Manager of Marketing and Systems in managing the organization’s IT systems and in communications and planning with the IT service provider.

  • Manage and administer employee payroll and employee benefits including group health and disability insurance and staff retirement plan, and provide annual 1099s for independent contractors and other required tax filings.

  • Oversee staff policies including the personnel handbook and administer HR requirements as needed.

  • Manage office building lease, equipment leases, and the relationships with office service providers.

  • Complete annual renewal of corporate insurance policies.

QUALIFICATIONS

Required:

  • Bachelor's degree in Accounting or equivalent education and experience.

  • Minimum of 8-10 years of relevant accounting experience, preferably including non-profit accounting.

  • Minimum of five years supervisory experience.

  • Deep, hands-on knowledge of a state-of-the-art accounting system; advanced level of Microsoft Excel.

Desired Qualifications:

  • CPA license preferred.

  • Experience in a non-profit organization with a minimum $3M operating budget.

  • Experience in a performing arts organization.

  • Experience implementing financial systems and integrating external applications.

  • Experience with Patron Manager or other ticketing or customer relationship management
    system.

  • Experience with Paychex or another payroll processor.

  • Experience with Microsoft Office Suite.

SCHEDULE

The Director of Finance & Administration will generally work Monday through Friday 9am-5pm. In person requirements will be determined as needed, which will include Board and committee meetings as well as staff meetings. Additionally, a few evenings and weekends may be necessary during the season from September-May for MOB concerts and events, with comp days provided.

COMPENSATION & BENEFITS

  • $90,000 - $100,000 annual salary range
